Fixing Mistakes
The golden rule
In MotoDesk, nothing financial is ever deleted. Mistakes are corrected by cancelling or reversing, always with a reason. This keeps your invoice numbers continuous, your accounts correct and a complete trail in the Audit Log.
| Instead of… | You… |
|---|---|
| Deleting a sale | Cancel the sale (with a reason) |
| Deleting a payment | Reverse the payment (with a reason) |
| Deleting a service invoice | Cancel the invoice (with a reason) |
| Deleting a customer, bike, part or master record in use | Mark it Inactive |
Common corrections
| Mistake | How to fix it |
|---|---|
| Wrong amount or method on a payment | Reverse the payment, then record it again correctly. |
| Wrong discount or accessory on a confirmed sale | Edit the sale. If the new total is less than what has been paid, reverse a payment first. |
| Wrong customer or bike on a confirmed sale | Cancel the sale (tick Return the bike to available stock) and make a new sale. |
| Wrong chassis or engine number on a bike in stock | Edit the bike. Not possible after it is sold. |
| Part count in MotoDesk doesn't match the shelf | Use an Adjustment with a reason. |
| Wrong parts or labour on a service invoice | See the steps below. |
| A customer was created twice | Delete the duplicate if it has no history; otherwise keep using the original. |
Service invoice correction, step by step
- Reverse any payments on the invoice.
- If the job was delivered, reopen it (move it back to Work in progress). This needs the Reopen delivered job cards permission.
- Cancel the service invoice with a reason. The parts go back to stock.
- Correct the Parts & Labour tab.
- Generate a new invoice and record the payment again.
Reversing payments, cancelling sales, changing delivered sales and reopening jobs are owner-only by default. See Roles & Permissions.
