Setting Up a New Showroom
Before you start
When MotoDesk is installed for you, you receive the web address and an owner (Super Admin) account. Sign in with that account. It can see and change everything.
Keep these details ready:
- Your showroom's address, phone, email, GST number (GSTIN) and logo.
- The list of staff who will use MotoDesk and what each person does.
- The brands, models, variants, colours and prices you sell.
- Your suppliers' details.
- The bikes and spare parts you already have in stock.
- Your workshop labour charges.
Step-by-step setup
Follow these steps in this order. Each step needs the one before it; for example, you need brands before you can add models.
| # | Step | Where | Guide |
|---|---|---|---|
| 1 | Showroom address, phone, GST, logo, tax rates and invoice text | Settings › Showroom | Showroom Settings |
| 2 | Invite your team and give each person a role | Settings › Users | Staff Users |
| 3 | Add the brands you sell | Inventory › Brands | Brands, Colours & Models |
| 4 | Add the colours | Inventory › Colours | Brands, Colours & Models |
| 5 | Add bike models | Inventory › Bike Models | Brands, Colours & Models |
| 6 | Add variants with prices and colours | Inventory › Variants & Pricing | Variants & Pricing |
| 7 | Add your suppliers | Inventory › Suppliers | Suppliers |
| 8 | Receive your first bikes into stock | Inventory › Stock Entries | Receiving Bikes |
| 9 | Add part categories, parts and labour rates | Inventory › Parts / Labour Rates | Spare Parts, Labour Rates |
The dashboard's "Finish setting up your showroom" card ticks off each step as you complete it.
Entering your opening stock
- Bikes already in the showroom. Enter them with a stock entry, one row per bike with its chassis and engine number. You can use one stock entry per supplier invoice, or a single entry for all your existing stock.
- Spare parts. When you add each part, enter the quantity you have now in Opening stock.
- Existing customers. Add them as you go: MotoDesk lets you create a customer in seconds while making a sale or job card.
You're ready
Once the steps above are done, your team can start making sales and opening job cards. Point each person to Daily Workflows by Role.
